Reading Conditions Matter to Writers

When you write, do you consider the conditions in which the words and message will be read? Consideration of the reading environment should be a routine part of exercising your communication skills when writing.

For example, if you're writing a memo to people working on a factory floor, you'll probably have one approach. On the other hand, if those people are administrative staff working in offices you'll likely take a different approach.

Obviously, reading conditions in an environment such as a factory or plant will be less reader friendly, so you’ll keep the message simpler and easier to read. Given the noise and distractions in such areas, you’ll focus on just a few key points, use larger font sizes, and so on.

If you’re writing for people in offices, you can be more subtle with your messages, and you can focus on the look of the document. Fonts can be smaller than those used for communication with the factory floor, for example. Color is a useful tool in office environments, but on the factory floor plain black and white will be more effective.

Think, too, about the differences in lighting. High gloss paper may look good, but it may reflect and make reading harder in brightly lit offices, and harder reading means the document won't get as much attention as one that is easy to read.

For example, if you publish a printed newsletter, you should ask yourself where it will be read. If a majority of your readers are in harsh or very bright reading environments, then go with non-glossy paper.

One other note: Will your document be an email message, or a printed document? Recipients generally treat email as disposable, but written letters as permanent records. That may not be your view, but write for posterity when you write for print.

Measure Your Readability

Do you help your readers understand by being consistent? After all, if you are consistent, they'll find you easier to read. In turn that means they'll read more and understand more. These are important considerations in all business writing projects.

It's not hard to develop consistency. You do that by checking your scores on a readability index, and doing it regularly. A readability index measures how easy it is to read and understand what you've written. Normally, it's measured in grades, as in Grades 1 through 12 in North American high schools. 

This article came in at 9.08 on the Flesch Kinkaid Grade level test. It should be comprehensible to a person with a Grade 8 education. Other indexes might give a different score, but generally they will be in the same range.

Fortunately, we usually don't have to go far to get readability tests. Many word processors include them, and if not, you can go online. Simply visit your favorite search engine and type in the words "online readability" or "online readability tests". You should find a number of them.

A good service or program will give you more than just a score. It will also give you information to help you lower the grade. This information includes average sentence length, average word length, and the proportion of passive verbs. That's important, because this information will help you bring down your score. Bring down the grade level by shortening sentences and replacing longer words with shorter words. For even more readability, replace passive verbs with active verbs.

You have lots of choices, and they'll all give you roughly the same score. Use the one that's most convenient, or best fits your writing aims.

Your target score will reflect the reading ability of your audience. For example, if you're writing for university grads, you can go higher than you would with children. If you're writing for a general audience, aim for Grade 12 or lower. A few grades lower would be even better, of course.

Once you've found a readability scoring program or service you like, use it regularly, to build consistency. If your scores come in too high, shorten sentences and shorten words until the score is where you want it. Over time, of course, you'll find it easier and easier to hit the grade level you need. At the same time, you'll be increasing your communication skills and helping your readers, too.

No-Rush Writing

I have a business writing process that lets me do better work with less effort. It's based on three separate steps on three separate days. Sometimes those days come one after another, sometimes they're spread out over a week or two.

On the first day of the process, I review the material I have to write about. If I'm writing something from scratch I make notes or even a mind map (a diagram of the way the idea or argument flows). No writing is done this day, just a gathering of thoughts into some sort of order.

Day 2: Now I write, and perhaps even rewrite, based on the thoughts I’ve developed over the past 24 hours or more. My experience has been that if I carry the ideas around from the first day long enough, the article will just about write itself. So, unless I have a deadline, I don't rush to write. Conversely, if I'm having trouble getting something written, I presume I'm not yet ready and set the project aside if I can.

Day 3: Now that I’ve reflected on what I’ve written, I can challenge the assumptions I made during the writing process. In addition, I can more objectively judge what I've written if some time passes. When I'm writing for clients, I like to come back to a piece of writing once a day for several days before submitting it. 

While the process is simple, it leverages my communication skills in a big way. I don’t sit for hours trying to figure out what I want to say, or how I want to say it. Instead, I let my subconscious mind do a lot of the work while I’m doing other things. 

In summary, I approach business writing projects in three steps, over three or more days. The first part of this writing process sees me familiarizing myself with the raw materials. The second step involves the actual writing, and in the third stage I review and revise. All of which allows me to do better work with less effort.
